Sales Quotes

The Sales Quotes tab in Manager serves as a central hub for creating, modifying, and tracking sales quotations provided to your customers or prospects. This feature helps businesses generate professional-looking quotes efficiently, detailing prices, products, or services prior to finalizing a sale. With this tool, you can swiftly manage follow-ups on these quotes and, if required, convert them into sales orders or sales invoices.

Creating a New Sales Quote

To create a new sales quote, click the New Sales Quote button in the top-right corner of the Sales Quotes tab.

Understanding the Sales Quotes Tab

The Sales Quotes tab features several columns that provide key information about each quote:

Issue Date

The date when the sales quote was issued.

Expiry Date

The date when the sales quote is set to expire, if an expiry date has been established.

Reference

The reference number for the sales quote.

Customer

The name of the customer to whom the sales quote was issued.

Description

A description of the sales quote.

Amount

The total amount of the sales quote.

Status

The status of the sales quote, which can be one of the following:

  • Active: The quote is currently valid and has not yet been accepted or expired.
  • Accepted: The quote has been accepted. This status changes automatically if the sales quote is linked to at least one sales order or sales invoice.
  • Cancelled: The quote has been cancelled and is no longer valid.
  • Expired: The quote has passed its expiry date without being accepted.

By monitoring these statuses, you can keep track of the progress of your sales quotes and take appropriate actions, such as following up with customers or updating quotes as needed.

Managing Sales Quotes

After creating a sales quote, you can:

  • Edit it to make changes before it is accepted.
  • View it to see the details or print it for your records.
  • Copy it to create a new quote with similar details.
  • Email it directly to your customer from within Manager.

Converting Sales Quotes

Once a customer accepts a sales quote, you can easily convert it into a sales order or a sales invoice:

  • Sales Order: Use this option if you need to track the order fulfillment process before invoicing.
  • Sales Invoice: Use this option to invoice the customer directly based on the accepted quote.

When you link a sales quote to a sales order or sales invoice, the status of the quote automatically changes to Accepted.

Best Practices

  • Set Expiry Dates: Assign expiry dates to your sales quotes to encourage timely responses from customers.
  • Follow Up: Regularly review active quotes and follow up with customers to increase conversion rates.
  • Maintain Records: Keep detailed descriptions and references for easy identification and tracking.

By effectively utilizing the Sales Quotes feature in Manager, you can streamline your sales process, improve customer communication, and enhance overall business efficiency.
